Proposal: Managed IT support for Hollis & Park Accountants

Summary
Your 12-person office is losing hours to slow laptops and has no backups. We propose managed IT support: new laptops where they are needed, daily cloud backups, a weekday help desk and a monthly check-up. You get a team that can work without waiting on their computers, and files you can get back if something goes wrong.

Your situation
Your staff lose time every week to slow laptops. There are no backups of client files today, and last month's ransomware scare showed the partners how exposed the firm is.

What we propose
- Replace your 4 oldest laptops and move each person's files and settings
- Set up daily cloud backups of every computer and your shared files
- A help desk by email and phone on weekdays
- A monthly check-up of updates, backups and security settings

Scope
Included: the work above for your 12 staff, and the 4 laptops. Not included: [what is not included, for example software licences or work outside office hours].

Timeline
Setup within three weeks of signing. [Start date] once you accept.

Investment
$1,450.00 a month, plus $3,200.00 one-time for setup and laptops.

Why us
We restored a law firm's files in one day after a drive failed. With daily backups in place, your files can be recovered the same way.

Next steps
- Reply to this proposal with any questions.
- We book a 30-minute call to agree the start date.
- Sign the agreement we send, and we begin setup.

Valid until: [date]

Subject: Your IT support proposal, Hollis & Park

Hi [client name],

Thank you for walking me through how things work at your office. The proposal is attached. In short: daily backups of every computer and new laptops where they are needed, so your team stops losing time and you can recover client files if something goes wrong.

Could we have a 20-minute call this week to go through it and answer any questions?

Best regards,
[your name]

## What a business proposal is

> A business proposal is a document you send a prospective client to win a piece of work. It shows you understood their need, says exactly what you will deliver, by when and for how much, and tells them how to accept. A good one is short and specific: the client can read the summary, see the scope and the price, and know the next step without calling you.

1. **Name both businesses.** Yours and the client's. The proposal is written to them, in the second person.
2. **Describe their need.** Use what they told you on the call or in their brief. The proposal opens with it.
3. **Say what you propose.** Concrete deliverables. Add the price and timeline if you have them; otherwise you get [price] and [timeline] slots.
4. **Add proof, then copy.** One relevant result, if you have one. Copy the proposal and the email, and fill the slots.

## Business proposal template: what each section contains

These are the sections the generator writes, in order. Use them as a template when you write one by hand.

| Section | What it says | Tip |
| --- | --- | --- |
| Summary | Their need, what you propose and the result, in three sentences | Write it last. |
| Your situation | The problem in the client's own terms | Show you listened. No pitch yet. |
| What we propose | The deliverables | Things they can check: "a five-page website", not "a modern online presence". |
| Scope | What is included, and what is not | The "not included" line prevents arguments later. |
| Timeline | Dates or weeks per stage | Say when you need their input. |
| Investment | The price and how it is paid | One clear figure, such as $6,400.00, half at signing. |
| Why us | One relevant result or client | Only proof you can show if asked. |
| Next steps | How to accept, and how long the offer stands | End with one action and a "valid until" date. |

## Business proposal example

A short example for an invented web design studio. Replace the [square-bracket] slots with your own facts.

Proposal: A booking website for Riverside Dental

Summary
Riverside Dental wants patients to book online instead of calling. We propose a five-page website with online booking, live in six weeks. You get fewer booking calls and a site your team can update.

What we propose
- Five pages: home, treatments, team, prices, contact
- Online booking linked to your current calendar
- One hour of training for your team

Scope
Included: design, build and text entry for five pages. Not included: photography, [other exclusions].

Timeline
Six weeks from the kick-off call.

Investment
$6,400.00, half at signing and half at launch.

Next steps
Reply to accept, and we will send the agreement and book the kick-off call.

Valid until: [date]
```
## Common mistakes
- Opening with your company history. Open with their need.
- A vague scope. Anything not written down is something to argue about later.
- No expiry date. Prices and availability change, so say how long the offer stands.
- No next step. End with exactly how to say yes.
## Before the proposal: let your website qualify the lead
A proposal starts with a prospect who explained what they need. Much of that first conversation can happen in your website chat.
A LuckPanda sales agent answers visitors' questions from your own pages, asks at most two or three short questions, and recommends one next step, such as booking a call. When a visitor leaves an email or phone number and shows buying intent, it saves the lead with their need, what they use now, urgency and size: the start of your "Your situation" section.
## Questions people ask
### What should a business proposal include?
A summary, the client's situation, what you propose, the scope (including what is not included), a timeline, the investment, why you, the next steps and a date the offer is valid until.
### How long should a business proposal be?
Long enough for the client to decide, and no longer. For a small project, a page or two is often enough. This generator writes 350 to 550 words.
### What is the difference between a proposal and a quote?
A quote lists items and prices. A proposal also explains the client's need, your approach, the scope and why you, so it suits work where the client is choosing between options.
### What do I write in the email that sends the proposal?
Keep it under 120 words: say the proposal is attached, restate the one-line result for the client, and ask for a short call to go through it. The generator writes this email too.
