# Sole trader invoice template

**Sole trader invoice template: what it is** An invoice is the request for payment you send after supplying goods or services; if you are VAT-registered it must be a VAT invoice with your VAT number, the VAT rate and the VAT charged. Own name or trading name, the disclosures required, and when VAT starts.

Free online tool: https://luckpanda.app/templates/sole-trader-invoice-template (create on screen, no account needed).

## Example: a filled sole trader invoice

![Filled example invoice from Owen Price trading as Greenhaven Gardens to Mrs E. Rhys, with numbered notes on what goes where.](https://luckpanda.app/img/guide/en--sole-trader-invoice-template--example.svg)

*The example in the editor above, drawn as the finished invoice. Numbers mark what each part is for.*

1. The title says what the document is: an invoice.
2. A unique number from a continuous series, allocated when you issue it.
3. Your business name and address, and tax number if registered.
4. Who it is for.
5. Each line: description, quantity, rate and amount.
6. Tax by rate.
7. The total in the document's currency and format.

**Worked example: the numbers behind the invoice above**

| Item | Qty | Rate | Amount | Tax |
| --- | --- | --- | --- | --- |
| Garden maintenance visits, September (4 visits) | 4 | £85.00 | £340.00 | £0.00 |
| Hedge cutting and green waste removal, 19 September | 1 | £160.00 | £160.00 | £0.00 |
| Supply and lay turf, rear lawn, per square metre | 30 | £12.00 | £360.00 | £0.00 |
| Subtotal |  |  | £860.00 | £0.00 |
| Total |  |  |  | £860.00 |

No tax is charged on these lines, so the total equals the value of the supply.

## How to fill in the sole trader invoice

1. Enter your own name, then "trading as" and your business name if you use one.
2. Add a UK address where documents can be served on you.
3. Describe and price the work; leave VAT at zero until you have a VAT number.
4. Set the due date, save, and sign in to issue numbered invoices.

## Own name or trading name: what the invoice must show

These disclosure rules come from Part 41 of the Companies Act 2006 and the trading disclosure regulations made under it. They cover business letters, written orders, invoices, receipts and written demands for payment, and signs at any premises where you deal with customers or suppliers.

| You trade as | Example | The invoice must also show |
| --- | --- | --- |
| Your surname, with or without forenames or initials | Owen Price, or O. Price | Nothing extra: your name is the business name |
| Your name plus other words | Owen Price Gardening | Your own name and a UK address for documents, because this counts as a business name |
| A business name | Greenhaven Gardens | Your own name and a UK address for documents |

## VAT thresholds for sole traders

VAT registration belongs to you, not to a trading name, so turnover from all your sole trader businesses is added together. Zero-rated sales count towards the threshold; exempt sales do not.

| Test | Amount | What it means for your invoices |
| --- | --- | --- |
| Registration, looking back | Over £90,000 taxable turnover in the last 12 months | Register within 30 days of the end of the month you went over |
| Registration, looking ahead | Over £90,000 expected in the next 30 days alone | Register straight away |
| Deregistration | Under £88,000 expected in the next 12 months | You can ask to deregister and stop charging VAT |

## What to put on an invoice, field by field

| Field | What to enter |
| --- | --- |
| Document title | Say exactly what it is: "VAT invoice". The title tells the buyer and the tax authority how to treat it. |
| Number and date | A unique number in a continuous series and the issue date. LuckPanda allocates the number when you issue. |
| Your business | Name, address and VAT number if registered |
| Customer | Name, address and VAT number if registered |
| Lines | Description, quantity, unit and rate. Each line carries its own tax rate. |
| Tax | VAT rate per line (standard, reduced, zero or exempt) and the VAT amount. |
| Totals | Taxable value, tax by component and the total, in the document currency. Amounts in words are customary in India. |
| Terms | Due date, bank or payment details and late-payment terms. |

## UK VAT rules for an invoice

- If you are VAT-registered, a full VAT invoice shows a unique sequential number, date, time of supply if different, your name, address and VAT number, the customer's name and address, a description, quantity and price, the VAT rate per item, the total without VAT and the VAT charged in sterling (HMRC VAT Notice 700, section 16).
- Retailers may issue a simplified invoice for supplies of £250 or less including VAT.
- Issue the VAT invoice within 30 days of the tax point.
- Limited companies must show the company name, registration number and registered office address on invoices.
- Not VAT-registered? Do not show VAT or a VAT number.

## Mistakes to avoid

- Editing or deleting an issued invoice instead of issuing a credit note.
- Gaps or duplicates in the number series.
- Charging the wrong tax type (for India: IGST on an intra-state sale, or CGST and SGST across states).
- Leaving out the due date and payment details, which is the commonest reason invoices are paid late.
- Rounding each line's tax differently from the total; LuckPanda computes tax per line and keeps the components adding up.

## Invoice vs other sales documents

| Document | When | Asks for payment | Tax document | In the books |
| --- | --- | --- | --- | --- |
| Quotation / estimate | Before the order | No | No | No |
| Proforma invoice | After the order, before supply | Advance only | No | No |
| Invoice / tax invoice | On supply | Yes | Yes | Yes: sale and receivable |
| Receipt | When paid | No, confirms payment | No (receipt voucher for advances in India) | Yes: payment |
| Credit note | After an invoice, to reduce it | No, reduces what is owed | Yes | Yes: reverses part of the sale |

## Questions people ask

### Do I need to register a trading name?

No. Sole traders do not register a business name with Companies House. You still cannot use a name that includes "limited", "Ltd", "LLP" or "plc", or a sensitive word such as "Royal" or "Bank" without approval, and you should check it does not copy an existing trade mark.

### What happens to my invoices when I pass the VAT threshold?

Once taxable turnover over the last 12 months goes above £90,000, or you expect it to in the next 30 days alone, you must register. You owe VAT from your effective date of registration, but you cannot show VAT on invoices until your VAT number arrives; HMRC suggests raising prices to cover it and reissuing those invoices as VAT invoices once you have the number.

### Can I register for VAT voluntarily?

Yes. It can make sense if your customers are VAT-registered businesses that reclaim it, or if you buy a lot of standard-rated goods. It adds VAT returns, and your prices rise by 20% for customers who cannot reclaim.

### Should I use my home address on invoices?

The address must be one where documents can be delivered to you; it does not have to be your home. Many sole traders use business premises or a mail address service that accepts legal post.

### Country rules

This page makes United Kingdom documents: currency GBP, VAT, seller tax ID "VAT number" (e.g. GB123456789). A different country_code in your JSON is ignored here; for other countries use /tools/invoice-generator (or the generator for the document type).

**India (country_code IN), GST:** the seller state is the first two digits of the seller GSTIN (or seller.state_code). Seller state = place of supply: CGST + SGST, each half the rate. Another state: IGST. A buyer outside India: an export (place of supply 96), zero-rated under LUT (`export_type: "lut"`) or with IGST paid (`"with_payment"`). If the seller state is unknown, GST is shown unsplit until it is given. Add HSN (goods) or SAC (services) codes per line.

**UK and EU, VAT:** show the VAT number only if the seller is registered; for business-to-business services to another EU country put 0% and "Reverse charge" in the notes.

Full rules for any type and country: `GET https://luckpanda.app/api/public/rules?document_type=invoice&country=GB` or the MCP tool `get_document_rules`.

### 1. Prefill link (no API call)

Put the JSON in `?doc=`, as base64url (UTF-8) or as URL-encoded raw JSON. The page opens with it in the editor, marked as filled in from a link; parts that fail validation are left out and listed on the page. Example:

https://luckpanda.app/templates/sole-trader-invoice-template?doc=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

**Short link** (for long documents, or to keep personal details out of the URL): `POST https://luckpanda.app/api/public/drafts` with `{"page": "sole-trader-invoice-template", "doc": {...}}` returns `{"url": "https://luckpanda.app/d/<id>", "totals": {...}, "missing": [...], "ignored": [...]}`. Links open for 7 days; at most 60 per hour per network.

```bash
curl -s -X POST https://luckpanda.app/api/public/drafts -H 'content-type: application/json' \
  -d '{"page":"sole-trader-invoice-template","doc":{"kind":"invoice","currency":"GBP","country_code":"GB","seller":{"name":"Owen Price trading as Greenhaven Gardens","email":"owen@greenhavengardens.example","address":"9 Heol y Coed\nCardiff CF14 0XX","country_code":"GB"},"buyer":{"name":"Mrs E. ### 2. Branded PDF (no sign-in)
`POST https://luckpanda.app/api/public/pdf` with `{"doc": {...}}` (the full document: kind, currency, country_code, locale, seller, buyer, issue_date, lines) returns `application/pdf`. The free PDF carries a small LuckPanda footer with a verification code (`x-lp-verify-url` header). Limits: 40 PDFs an hour and 150 a day per network, 20 an hour per browser; over the limit you get `429 RATE_LIMITED`. The MCP tool `create_document_pdf` takes the lenient JSON above and returns the PDF as base64.
```bash
curl -s -X POST https://luckpanda.app/api/public/pdf -H 'content-type: application/json' \
  -d '{"doc":{"kind":"invoice","currency":"GBP","country_code":"GB","locale":"en-GB","seller":{"name":"Owen Price trading as Greenhaven Gardens","email":"owen@greenhavengardens.example","address":"9 Heol y Coed\nCardiff CF14 0XX","country_code":"GB"},"buyer":{"name":"Mrs E.
