TL;DR: To invoice as a freelancer, agree the price, terms and due date before work starts, then send an invoice with a unique number, both parties' details, an itemised description, the supply and invoice dates, the total and how to pay. Bill monthly for retainers, at delivery for small jobs, and take a deposit on large ones. Write late fees into the contract, because in the UK and New York the law backs you up only so far.
Invoicing as a freelancer means sending each client a numbered document that records what you did, what it costs and when payment is due. A complete freelance invoice has nine parts: your name and contact details, the client's name and address, a unique invoice number, the invoice date, the date the work was delivered, a line-by-line description of the work, the rate and quantity for each line, any tax, and the total with payment terms and payment methods. Send it as a PDF or a payment link the day the work is accepted or the billing period ends, and follow up the day after the due date.
What do you need before you send your first invoice?
You need four things in place before the first invoice: a written agreement, a numbering scheme, a way to get paid and your tax identity.
- A written agreement. State the scope, the rate, the billing schedule and the payment date. In New York City, a written contract is mandatory for freelance work worth $800 or more, including work that adds up to $800 within any 120-day period, under the Freelance Isn't Free Act. New York State applied similar protections statewide from 28 August 2024 (NY Department of Labor).
- A numbering scheme. Pick a format such as
2026-014orACME-003and never reuse or skip numbers. - A payment route. Bank transfer details (account and routing number in the US, sort code and account number in the UK, IBAN and SWIFT/BIC for international clients), a card payment link, or both.
- Your tax details. US clients will usually ask you for Form W-9 so they can report what they pay you. UK freelancers who pass the VAT threshold need a VAT number on every invoice.
How do you invoice as a freelancer, step by step?
Invoicing as a freelancer takes seven steps, and steps 1 and 2 happen only once per client.
- Confirm the terms in writing. Rate (hourly, daily or fixed), deposit, billing schedule and due date, for example
Net 14. - Collect the client's billing details. Legal company name, billing address, the accounts payable email and any purchase order (PO) number they require. Many companies reject invoices that lack their PO number.
- Add your header. Your name or trading name, address, email, and VAT number or tax ID if you have one.
- Number and date it. Next number in your sequence, the invoice date, and the supply date or service period (for example
1-31 October 2026). - Itemise the work. One line per deliverable or task, with quantity, rate and line total, for example
Homepage copy, 1 x $900,Revisions, 3 h x $75. - Total it and state the terms. Subtotal, tax if registered, any deposit already received, amount due, due date as a calendar date (not only "Net 30"), and accepted payment methods.
- Send it and log it. Email the PDF to the accounts payable address with the invoice number in the subject line, then record the due date so you can chase it.

What must a freelance invoice include?
A freelance invoice must include enough to identify both parties, the work and the money. The UK sets this out explicitly; in the US, no federal rule lists invoice fields, but clients' accounts payable teams expect the same items.
| Field | UK legal requirement | US practice | Example |
|---|---|---|---|
| Unique invoice number | Required | Expected | 2026-014 |
| Your name, address, contact | Required | Expected | Priya Shah, Leeds, priya@example.com |
| Business name and legal address | Required for sole traders trading under a name | Optional | Shah Studio |

When should a freelancer send an invoice?
A freelancer should send an invoice at the moment the agreement says payment becomes due, and the agreement should match the shape of the project. Wise's guidance for freelancers sets out the common pattern (Wise):
| Project type | When to invoice | Typical terms |
|---|---|---|
| Ongoing retainer or monthly hours | Last working day of each month | Net 14 or Net 30 |
| Small standalone job | On delivery or acceptance | Due on receipt or Net 7 |
| Large fixed-price project | Deposit at start, then milestones or final balance | 30-50% upfront, rest on delivery |
| Hourly work with no end date | Weekly or every two weeks | Net 7 or Net 14 |
The deposit invoice is an ordinary invoice for part of the price, labelled clearly (for example Deposit, 40% of $5,000). The final invoice then lists the full price and subtracts the deposit already paid, so the client's records reconcile. If the client wants a document to approve before work starts, send a quote or a proforma invoice first.
How do you invoice hourly versus fixed-price work?
Hourly invoices show time; fixed-price invoices show deliverables. For hourly work, list each task or week with the hours and rate (Design review, 6.5 h x $80 = $520) and keep a timesheet you can attach if asked; the hourly invoice template has the columns. For fixed-price work, list the deliverables against the agreed price and note the milestone being billed (Milestone 2 of 3: wireframes). Either way, bill out-of-scope requests as separate lines so they are visibly extra.
What payment terms and late fees can a freelancer charge?
Payment terms are the conditions on the invoice that say when and how the client pays; late fees are what you charge when they miss that date. Put both in the contract first, then repeat them on the invoice.
- UK, business clients. If your contract sets no rate, the Late Payment of Commercial Debts (Interest) Act lets you claim statutory interest of 8% plus the Bank of England base rate, and a fixed recovery sum of £40 on debts up to £999.99, £70 from £1,000 to £9,999.99 and £100 from £10,000, once per invoice (GOV.UK interest, GOV.UK recovery costs). GOV.UK says to send a new invoice when you add the interest. Work out the figure with the late payment interest calculator.
- New York City. If the contract has no payment date, the client must pay within 30 days after you complete the work, and retaliating against a freelancer who asserts these rights is illegal.
- Elsewhere in the US. No federal statute sets a late fee for business-to-business invoices; the fee you can enforce is the one in your signed agreement, within your state's usury limits.

A common setup is Net 14, 1.5% per month on overdue balances, stated on the contract and printed under the total.
What changed for US freelancers in 2026?
The 1099-NEC reporting threshold changed. For tax years beginning after 2025, a business that pays you must file Form 1099-NEC once it pays you $2,000 or more in the year, up from $600, and the figure may be indexed for inflation from 2027 (IRS Instructions for Forms 1099-MISC and 1099-NEC). The 1099-NEC is due to the IRS by 31 January. This affects paperwork, not your tax: you still report all freelance income, with or without a 1099. Keep every invoice numbered and dated, because your invoice log is how you reconcile income when 1099s arrive or do not.
What are the most common freelance invoicing mistakes?
The most common freelance invoicing mistakes are fixable ones that make an accounts payable team bounce the invoice:
- Missing PO number or wrong legal entity. Fix: ask for both in step 2 and copy them exactly.
- "Net 30" with no date. Fix: print the calendar due date beside the term.
- Vague lines such as "Design work". Fix: one deliverable per line with quantity and rate.
- Duplicate or reused numbers. Fix: one sequence, never edited after sending.
- Sending to your contact instead of accounts payable. Fix: send to the billing email and copy your contact.
- Wrong currency. Fix: state the currency code (
USD,GBP,EUR) and format the amount for the client's country.
How do you get paid faster as a freelancer?
You get paid faster by removing every reason to delay. Invoice the same day the work is accepted, include a card or bank payment link on the invoice, ask for a deposit on anything over a few days' work, and send a reminder on a fixed schedule: three days before the due date, on the day, and seven days after. For clients abroad, give local account details or a payment link so they avoid international wire fees. If you want the invoice, payment link and reminders in one place, the LuckPanda invoice generator drafts a freelance invoice free, formatted for the client's country and currency.
Questions
Do I need a business to invoice as a freelancer?
No. A sole trader or individual can invoice under their own name. In the UK, if you trade under a business name, the invoice must show your own name too and an address for legal documents.
Do freelancers charge tax on invoices?
Only if registered. UK freelancers add VAT once registered, which is required when taxable turnover passes £90,000 in a rolling 12 months. US freelancers add sales tax only where their state taxes the specific service.
How long should a client have to pay a freelancer?
Whatever the contract says, usually 7 to 30 days. In New York City, if the contract sets no date, the client must pay within 30 days of the work being completed.
Can I invoice before the work is done?
Yes, for a deposit or a milestone, if the agreement allows it. Label the invoice as a deposit and subtract it on the final invoice.
What invoice number should a freelancer start with?
Any number, as long as the sequence is unique and continuous. Many freelancers use the year plus a counter, such as 2026-001.
Does a client need my W-9 before paying me?
Most US clients ask for one so they can file a 1099-NEC. From 2026 payments, they file only once they pay you $2,000 or more in the year.
