How to use the musician invoice

  1. Enter your name or band name and the client who booked you.
  2. Bill the performance or session, with the date, venue and set lengths.
  3. Add extra sets, sound hire, travel and other agreed expenses.
  4. Note any deposit paid, then save and send.

Questions

Who should the invoice go to?

Whoever booked and is paying you: the venue, the event planner, the couple or the label. If an agency booked you, check whether you invoice the agency or the end client.

How do I bill for a band where everyone is paid separately?

The bandleader usually invoices the full fee and pays the other players. Keep a note of what each player received for your own records; the client only needs one invoice.

How are recording sessions billed?

Per song, per three-hour session or per hour, depending on the studio and any union scale that applies. Say whether the fee is a buyout or whether you keep a right to royalties.

Will a venue send me a 1099?

A business that pays you $2,000 or more in a calendar year from 2026 ($600 for earlier years) generally files Form 1099-NEC and will ask for your W-9 first. Private individuals paying for a party do not.
