How to respond to a message with AI

To respond to a message, first decide what the reply should do: answer, say yes, say no, follow up, thank or apologize. Paste the message above, choose the channel and the goal, and add the facts you want to include. The AI reply generator writes three versions, the shortest first, and leaves [slots] for anything it does not know. Pick one, fill the slots and send it.

  1. Paste the messageThe whole message, so the reply answers what was actually asked.
  2. Choose the channelEmail, live chat, direct message, comment, review or text message. Each one changes the length and the opening.
  3. Set the goal and your pointsSay what you want to do and add the facts: a date, a price slot, an alternative you can offer.
  4. Pick a version and send itFill any [slots], read it once as the person receiving it, then send.

How each channel changes the reply

The same answer reads differently in an inbox, a chat window and under a public post.

ChannelShape of the replyWatch out for
EmailA few short paragraphs, with a greeting and a sign-off with your name.Burying the answer. Put it in the first two lines.
Live chatOne to three sentences, no sign-off.Long blocks of text. The person is waiting on your page.
Direct messageOne to three sentences, no sign-off.Sounding like a form letter in a personal inbox.
CommentOne or two sentences, no sign-off.It is public. Move anything personal to a private message.
ReviewTwo to four sentences. Thank the reviewer by name if it is shown.Order details or blame in public. Offer to continue privately.
Text messageOne or two sentences, no sign-off.Links and jargon. Say who you are if they may not have your number saved.

Worked examples by channel

One reply for each channel, from businesses of different kinds. The generator writes three versions; these show one.

Email: say no to a discount request
Hi Daniel,

Thanks for coming back so quickly. I cannot lower the price for the full website, because it reflects the time the work takes.

What I can do is start with the five main pages now and add the blog in a second phase. That brings the first invoice down to [amount]. Would that work for you?

Best,
[your name]

Message: "Love the proposal, but it is above our budget. Can you do 20% off?" Goal: Say no politely. Points: no discount; can split into two phases.

Live chat: answer a sizing question
Size M fits heads from 55 to 59 cm, so 58 cm is a good fit. If you are between sizes, the dial at the back tightens it.

Message on a cycling store’s chat: "My head is 58 cm, which helmet size do I need?" Goal: Answer the question. Points: M fits 55-59 cm, dial adjuster.

Direct message: say yes to a pickup
Yes, Sunday pickup works. We are open 10 to 1, so come by any time then and ask for the order under your name.

Instagram message to a bakery in Lisbon: "Can I pick up the birthday cake on Sunday instead of Saturday?" Goal: Say yes. Points: open Sunday 10-1.

Comment: thank a happy customer
Thank you, Aiko. We are so glad the morning class is working for you, and see you on the mat next week.

Comment on a yoga studio’s post: "Six weeks of the 7 a.m. class and my back has never felt better." Goal: Say thank you. Tone: Warm.

Review: apologize for slow service
Thank you for the honest review, Marcus. You are right that the wait on Saturday was too long, and we are sorry it took away from your evening. We have added a second cook on weekends. If you would like to tell us more, please write to us at [email address].

2-star review of a restaurant: "Food was good but we waited 50 minutes for mains on Saturday." Goal: Apologize. Points: second cook added on weekends.

Text message: follow up on a quote
Hi Priya, it is Tomás from Rivera Plumbing. Just checking you got the quote for the bathroom work. Happy to answer any questions, or to book a date when you are ready.

Earlier message: the quote sent last Tuesday, no reply yet. Goal: Follow up. Tone: Friendly.

Choosing the goal

Most hard replies get easier once you know what the reply is for.

GoalUse it whenA first line that works
Answer the questionSomeone asked something you can answer.Lead with the answer: "Yes, it ships to Canada."
Say yesYou accept a request, an invitation or a proposal."Yes, that works for us."
Say no politelyYou cannot do what was asked.Say no early, then what you can do instead.
Follow upYou are waiting for a reply, or picking up an earlier thread.Name what you are following up on in the first sentence.
Say thank youPraise, a referral, a review, a favor.Thank them for the specific thing, not in general.
ApologizeSomething went wrong on your side.Say what went wrong in plain words, once, then what happens next.

If the message is angry, start with the de-escalation script generator. If it is the same question you answer every week, save the reply in a canned responses library instead of writing it again.

How to respond to a message when you are not sure what to say

  • Find the actual question. Many messages ask one thing, wrapped in several sentences.
  • Answer it in your first sentence. Context comes after.
  • Match the channel: short in chat and texts, complete in email, careful in public.
  • If you need time, say when you will reply, and keep that promise.
  • Apologize once, for what actually went wrong. Repeating it makes the reply sound unsure.
  • Give one next step: a date, a link, a question back. Not three options.
BeforeAfter
"Hi, thanks so much for reaching out to us and for your patience. We really appreciate your interest. Regarding your question about delivery, there are a few things to consider…""Hi Sam, yes, we deliver to your area. Orders placed before 2 p.m. arrive the next working day."

A live chat answer to "Do you deliver to Leeds?" The answer comes first.

Common mistakes with AI replies

  • Sending a [slot] by accident. Search the reply for "[" before you send.
  • Leaving out the facts. Without your points, the AI cannot know your dates, prices or policies, so it leaves gaps.
  • Choosing Email for a chat message. The greeting and sign-off look stiff in a chat window.
  • Posting private details in a review or comment reply. Keep order numbers and names of staff out of public replies.
  • Sending the longest version by default. The shortest one is often the one people read.
  • Not reading it as the receiver. One read-through catches the line that sounds wrong.

Let an AI agent send the reply at 2 a.m.

Many of the messages you answer by hand are the same questions about delivery, hours, prices and returns.

A LuckPanda support agent answers those on your website, at any hour, from your own pages and documents. It does not invent prices or policies, and hands the chat to a person on your team when it cannot help or the visitor asks for one. You read every chat and can take over at any time.

Questions people ask

Is the AI reply generator free?

Yes. There is no account and no sign-up. The free tools have a fair-use limit per hour and per day.

Can it reply to texts, DMs and comments?

Yes. Choose the channel: email, live chat, direct message, comment, review or text message. Chat, direct message and text replies are short with no sign-off; comment replies are one or two sentences; review replies stay public-safe.

Will the AI make up facts in my reply?

It is told not to invent names, prices, dates, links or promises. Where a fact is missing, it leaves a slot such as [order number] for you to fill. Add your facts under Points to include.

How do I respond to a message when I do not know what to say?

Decide what the reply is for first: answer, say yes, say no, follow up, thank or apologize. Then answer the real question in your first sentence and end with one next step. The generator does this for you once you choose the goal.

Can I make the reply sound like me?

Choose the tone, add your own points, and pick the version closest to how you write. Then edit a word or two. Every reply is a draft for you to read before you send it.

Is it safe to paste a private message?

The message is sent to the AI to write the replies and is not stored. Still, leave out details you do not need, such as card numbers, addresses or health information.

For AI agents

Build it with your AI agent

Give an agent your site and it can create the chatbot, read your pages and test it through LuckPanda's API and MCP. It prepares the work; going live stays with you.

Use LuckPanda's MCP server (https://luckpanda.app/mcp) to build a website chatbot for me. Ask for my website address, call chatbot_create_from_website with it, wait until the pages are learned (chatbot_source_list), then run a few test questions with chatbot_test_message and show me the answers. Do not put it live: I will do that myself.

Instructions for AI agents

Needs a LuckPanda agent key (Settings › Developers) with the chatbot.manage grant. MCP endpoint: https://luckpanda.app/mcp (Streamable HTTP, bearer key).

  • chatbot_create_from_website { url }: creates a draft chatbot named after the site and starts reading it.
  • chatbot_source_list: pages learned, failed or skipped, with a reason for each.
  • chatbot_test_message: asks the bot a question as the owner. Test chats never email anyone.
  • Going live (chatbot_update with status live) is a person's action; an agent gets APPROVAL_REQUIRED.

Try it on your website

Paste your address and watch the chatbot learn your pages. No account and no card.
