The bot did not reserve the seat, because it cannot see your demo register. It quoted the fee sheet, took the parent's number, said when a person would call, and put the lead in your CRM with a follow-up task.

When the answer is not in your pages or documents, the bot says it does not know and offers a callback. It does not make up a fee or a discount.

What to feed it

Give it the fee chart as a table, not a photo

Many institutes put fees on a poster image or a scanned PDF. The bot cannot read text inside images. A small spreadsheet works better.

Set the goal to lead generation and the bot asks for a name and number early, one or two questions at a time, and saves the lead as soon as it has a phone number or email. Set it to support and it saves details only when the parent asks to be contacted.

Before admissions open

Check these before you put it live

  • Ask it twenty questions from last year's enquiry register, typed the way parents type them.
  • In the test chat, look at what it searched for behind each answer. Where it went wrong, fix the page or add an FAQ.
  • Remove last session's fees and press Re-crawl after you update the site. It does not re-read your site on a schedule.
  • Add handoff topics such as refund, transfer and scholarship, so those always go to a counsellor.
  • Set your counsellors' hours and an offline message, so a parent at night knows when someone will call.
  • Write a greeting that says what it can help with: fees, batches, demo classes and centres.
Honest limits

What it does not do

  • It does not collect fees or take payments. Admission and payment stay with your office.
  • It does not reserve demo or batch seats. It takes the request, and a person confirms.
  • It does not call or message parents on WhatsApp or SMS. Your counsellor calls back from the lead.
  • It repeats results only as your results page states them. It will not promise a rank or a selection.
  • It replies in the language the parent writes in, such as Hindi or Hinglish, but the chat window's own buttons and labels are in English for now.

Questions

Can it answer in Hindi?

It replies in the language the visitor writes in, so a parent who types in Hindi, or in Hindi with English letters, gets a reply in the same style. Your pages and fee sheet can stay in English. Test it with a few such questions before you go live.

Our fee chart is an image. Will it read it?

No. It cannot read text inside images or scanned PDFs. Put the fees in a CSV, a text-based PDF or a text source, and it can quote them.

Can it book a demo class?

No. It cannot see or change your demo register. It tells parents when demos run, takes their name and phone number, and your counsellor confirms the seat.

We have four centres. Do we need four chatbots?

Not if all centres are on one website: one project answers for the whole site. If each centre has its own website, each can have its own project, and the Chatbot plan covers up to 10 websites.

What does it cost?

Building and testing are free. Putting it on your website needs the Chatbot plan: ₹249 a month, or ₹2,241 a year, for up to 10 websites on one account.
