Refund policy generator, with no refund policy examples
Tell the generator what you sell, where, and how refunds work. It drafts a plain-language refund policy that respects the minimum the law gives customers in your country, plus a short FAQ your website chatbot can answer from.
This is a draft, not legal advice: check it against the law where you and your customers are before you publish it. Written by AI. Read it before you send it.

What a no refund policy can say
A no refund policy says you do not refund purchases when a customer changes their mind. In much of the US it is allowed if you show it clearly before purchase. In the UK and EU, online buyers can still cancel within 14 days, except for listed items such as personalized goods. In most countries, faulty or wrongly described items stay covered whatever the policy says. This is general information, not legal advice.
- Describe your businessEnter your business name, the country you sell from and what you sell: physical products, downloads, a subscription, services, courses or events.
- Set your termsChoose the change-of-mind window (0 for no change-of-mind refunds), how you pay refunds back, and how many days that takes. Add any conditions in your own words.
- Add how customers askGive the email address, form or page customers use to ask for a refund. The draft points them there.
- Review, then publishRead the draft against the country rules below, fill any [square-bracket] slots, and put the policy on your website. Paste the FAQ into your chatbot.
Here is a no refund policy example for a US store that sells physical goods. Notice what it keeps: a clear line for faulty items, and a sentence saying legal rights are not affected. Those two lines are what separate a fair final-sale policy from one that misleads customers.
All sales are final We do not offer refunds or exchanges if you change your mind about a purchase. Please check sizes, colors and product details before you order. Faulty, damaged or wrong items If your order arrives faulty, damaged or different from what you ordered, email [support email] with your order number and a photo. We will repair, replace or refund it. Your legal rights Nothing in this policy limits your rights under the law. Last updated: [date]
Show this before checkout, for example on the product page and next to the Pay button, not only in the footer.
Where a no-refund policy works, and where it does not
"No refunds" only ever covers a change of mind. The rules for faulty goods sit on top of your change-of-mind terms.
Usually possible, if you disclose it
- United States: change-of-mind refunds on most online sales. No federal law requires them, so "all sales final" is allowed when it is clearly shown before purchase. California and New York have rules on where and how you show it.
- India and the UAE: there is no general legal change-of-mind right. Your policy decides, but you must show your return and refund terms before purchase.
- UK and EU: only for the listed exceptions, such as personalized or made-to-order goods, goods that spoil quickly, sealed hygiene goods or recordings once unsealed, set-date events and bookings, and digital content once the download or stream has started with the customer's express consent and acknowledgement.
Not possible
- Most countries on this page: refusing a remedy for goods or services that are faulty, damaged or not as described. In Switzerland a seller may exclude the legal warranty in the contract, unless it hid the defect; in the US the rules on "as is" sales differ by state.
- UK, EU and Germany: refusing the 14-day right to cancel an online, phone or mail order outside the listed exceptions.
- Brazil: refusing the 7-day right to withdraw from a purchase made outside a physical store. The law lists no exceptions.
- Mexico and Saudi Arabia: refusing the short legal cancellation windows (5 business days and 7 days) outside their exceptions.
- UAE: a blanket "goods sold are not returnable or exchangeable" notice, which the law treats as void outside a short list of cases.
If you sell only to other businesses, consumer rules like these may apply differently. The notes on this page are about selling to consumers; ask a lawyer about business-to-business terms.
Refund rules by country
The minimum the law gives customers in each market the generator covers. The draft follows the row for the country you pick.
| Country | Change-of-mind window | Refund deadline | What can't be excluded |
|---|---|---|---|
| United States (federal) | None by law for online sales: your policy decides, and "no refunds" is allowed if clearly shown before purchase. The FTC Cooling-Off Rule covers only some in-person sales away from your premises. | Ship within the time you state, or 30 days if you state none. If an order is cancelled for a shipping delay, refund within 7 working days (one billing cycle for card credits). | If you give a written warranty, you cannot disclaim implied warranties. Customers can still dispute card payments with their bank. |
| US: California | If you do not give a full cash refund, credit or exchange within 7 days of purchase, you must post your policy where buyers see it. | Not set by this rule. | The posting duty. Without a posted policy, buyers can return goods within 30 days for a refund (food, perishables, "as is" or "all sales final" goods, custom goods and goods without their package are excluded). |
| US: New York | Show the policy, or a link to it, near the item or before you ask for payment details (applies to online stores too). | The policy must state the time limit, cash or store credit, and any restocking or other fee with its amount. | The disclosure: whether you give refunds, whether sale and "as is" items can be returned, whether proof of purchase is needed, and that customers can ask for a written copy. If it is missing, buyers can return unused goods within 30 days. |
| United Kingdom | 14 days to cancel online, phone or mail orders for any reason. Goods: from the day after delivery of the last item. Services and digital content: from the day after the contract. Up to 12 months longer if you do not tell the customer. | Within 14 days of getting the goods back or proof of sending (whichever is first), or of the cancellation if nothing was sent. Same payment method, standard delivery included, no fee. | Faulty goods: full refund if rejected within 30 days of delivery. Change-of-mind refunds can be refused only for the listed exceptions (personalized, perishable, unsealed hygiene goods or recordings, set-date leisure bookings and similar). |
| European Union | 14 days to withdraw without a reason. Goods: from physical possession of the last item. Services and online digital content: from the contract. 12 months longer if you do not tell the customer. | Within 14 days of being told, by the same payment method, standard delivery included. You may wait until the goods are back or proof of sending. | The legal guarantee of at least 2 years from delivery. Terms that waive these rights are not binding. From 19 June 2026, online sellers must offer a withdrawal button. |
| Germany | 14-day right of withdrawal (Widerrufsrecht), no reason needed. Goods: from receipt. Services: from the contract. If the customer was not informed, it ends at the latest 12 months and 14 days after the start. | Within 14 days, same payment method, cheapest standard delivery included. You may hold the refund until the goods are back or proof of sending. | 2-year statutory warranty on new goods. Shops must use the official model withdrawal notice and form, and online contracts need a "Vertrag widerrufen" button. |
| India | No general legal cooling-off period. Your policy decides, but online sellers must show return, refund, exchange, warranty and return-shipping terms before purchase. | Accepted refunds within the time set by the Reserve Bank of India, or a reasonable time. Defective goods: take back and refund within the period on the bill, or 30 days if none. | Refunds for goods or services that are defective, deficient, spurious, not as described or delivered late. No cancellation fee unless you bear similar charges. Name a grievance officer; acknowledge complaints in 48 hours and resolve them in one month. |
| Brazil | 7 days from the contract or from receiving the product or service, for purchases outside a physical store. No reason needed and no exceptions in the law. | Immediately: everything paid, shipping included, adjusted for inflation. For card payments, ask the card issuer to cancel or reverse the charge. | The 7-day right, and defect claims (30 days for non-durable, 90 days for durable products and services). The policy must be in Portuguese. |
| Mexico | 5 business days from delivery or signing, whichever is later, for sales away from your premises, which PROFECO applies to online purchases. The customer pays return shipping and insurance. | The business refunds the price; no deadline in our notes. Confirm with PROFECO. | Goods and services must meet the quality and conditions offered. For defective goods, the customer may claim a replacement or a refund, plus compensation set by law. |
| Saudi Arabia | 7 days from receiving the goods (or from the contract, for services) if they have not been used. The customer pays return costs unless agreed otherwise. | No deadline in our notes. If delivery is more than 15 days late, the customer may cancel for a full refund. | Defective goods and goods not as described. Exceptions to the 7 days include custom goods, used software or discs, books and press, and travel, hotel and event bookings. Publish a written policy and handle complaints in Arabic. |
| United Arab Emirates | No general change-of-mind right by law. Your policy decides; disclose return and exchange terms before purchase, with product details in Arabic too. | No deadline in our notes. | Returns of defective, incomplete, damaged, late or not-as-described goods, with the customer choosing a refund, replacement or free repair. A blanket "no returns" notice is void except for disclosed defects, perishables, made-to-order goods, goods that cannot be resold, and books and press. |
| France | 14 days to withdraw from online, phone or mail orders, from the day after delivery of the last item (services: the day after the contract). 12 months longer if you do not tell the customer. Sale and clearance items are covered too. | Within 14 days of being told, by the same payment method, delivery included. You may wait until the goods are back or proof of sending. Late refunds carry statutory surcharges. | The 2-year legal guarantee of conformity, with free repair or replacement within 30 days. A clause waiving the withdrawal right is void. |
| Spain | 14 calendar days to withdraw, from receipt of the last item (services: from the contract). 12 months longer if you do not tell the customer. | Within 14 calendar days of being told, same payment method, standard delivery included. You may wait until the goods are back or proof of sending. | The legal guarantee: 3 years for goods, 2 for digital content and services (at least 1 year for second-hand goods, if agreed). Waivers of the withdrawal right are void. |
| Switzerland | None by law for online sales: your policy decides. The 14-day right covers only doorstep, street, excursion and telephone sales over CHF 100. | Not set by law for online sales. | Liability for defects: claims run 2 years from delivery and, for consumer goods, cannot be shortened below 2 years (1 year for used goods). Excluding it is invalid if a defect was concealed. |
| Canada (Ontario, Quebec) | None by law: your policy decides. Customers may cancel only if you leave out required information, do not send a copy of the contract in time or (Quebec) deliver more than 30 days late. Other provinces have their own rules. | Within 15 days of a valid cancellation. | Ontario: the implied conditions and warranties of the Sale of Goods Act, and services of reasonably acceptable quality. Quebec: state your return policy before the contract and honour it. |
| Argentina | 10 calendar days from delivery or the contract, whichever is later, for online and other distance sales. It cannot be waived and does not expire if you did not inform the customer. Online stores need a "Botón de arrepentimiento" link. | No fixed number of days: both sides return what they received. Withdrawing must cost the customer nothing. | The withdrawal right at no cost to the customer, and the legal guarantee: 6 months for new durable goods, 3 months for used ones. |
| Colombia | Up to 5 business days from delivery (services: from the contract) for distance sales, the "derecho de retracto". The customer pays return transport. | Within 15 calendar days after the customer withdraws, gives the data requested and returns the product. | The legal guarantee: 1 year for new products if you state none (3 months for used goods unless sold without a guarantee in writing). Card payments can be reversed for fraud, non-delivery or defective goods. |
| Egypt | 14 days from receiving the goods, for online, phone and other distance sales. If delivery is late, the customer may withdraw at no cost. | Within 7 days of the goods coming back, by the same payment method. | Defective or non-matching goods: exchange or refund within 30 days of receipt. At least a 2-year guarantee on durable goods. Consumer documents in Arabic. |
| Russia | 7 days after delivery for distance sales, or 3 months if written return information was not given at delivery. Goods must keep their presentation and properties. | Within 10 days of the demand, less your cost of getting the returned goods back from the customer. | Defect claims within the warranty or, if none, up to 2 years from handover; a refund for defects within 10 days. Refund policy examples by what you sell
The "What you sell" option changes what the draft covers. Here is a short example clause for each, written for a US business. Copy one and adjust the [square-bracket] slots.
You can ask for a refund within [number] days of delivery if you change your mind. Items must be unused and in their original packaging. Clearance items are final sale unless they arrive faulty, damaged or not as described.
Because downloads cannot be returned, we do not refund digital products once you have downloaded them. If a file is corrupt or not as described and we cannot fix it, we will refund you in full.
In the UK and EU this works only if the customer gave express consent to start the download and acknowledged losing the right to cancel. Without that, the 14-day right applies.
You can cancel your subscription at any time from [account page]. Your access continues until the end of the period you paid for. We do not refund partial months or unused time, except where the service did not work as described or the law requires it.
In the UK and EU, consumers have 14 days from the contract to cancel. In the UK, if they asked you to start within that time, they pay for what they used.
You can cancel a booked service up to [number] hours before it starts for a full refund. After the work has started, we refund only for any part not yet done. If the work does not match what we agreed, tell us within [number] days and we will put it right or refund you.
In the UK, a service started within the 14 days at the customer's request is paid for in proportion to what was done if they cancel.
You can ask for a full refund within [number] days of purchase if you have completed fewer than [number] lessons. After that, course fees are not refundable. If a lesson is missing or does not play and we cannot fix it, we will refund you.
For UK and EU customers, the notes on digital products and services above apply.
Tickets are not refundable once bought, but you can transfer your ticket to another person up to [number] days before the event by writing to [contact]. If we cancel or move the event, you can choose a full refund.
Set-date leisure events are among the UK and EU exceptions to the 14-day right. Saudi Ministry of Commerce guidance also lists event bookings.
Which refund method to choose
The "Refund method" option sets how the money goes back. Each choice has a trade-off.
| Option | Best for | Watch out for |
|---|---|---|
| Original payment method | Most stores. Customers trust it, and it avoids card disputes. | Card refunds can take a few extra days to show after you send them. Say so in the policy. |
| Store credit | Change-of-mind refunds on gifts, sale items and repeat-purchase products. | In the UK and EU, refunds for cancellations must go back by the same payment method, and in Brazil everything paid must be refunded. Faulty items need a real remedy in most markets. |
| Customer's choice | Stores that want to keep the sale but not force it. | Make the default clear, so the customer and your team read the policy the same way. |
Pick the processing time you can keep on a busy week, not your fastest week. A promise of 3 days that becomes 10 creates more refund questions than an honest 7.
Common mistakes in refund policies
- Saying "no refunds under any circumstances". Faulty, damaged and wrongly described items are covered by law in most markets on this page.
- Hiding the policy in the footer. California, New York, India, Saudi Arabia and the UAE all expect it to be shown clearly before purchase.
- Copying a US policy for UK or EU customers. Online buyers there have 14 days to cancel, and your policy has to say how.
- Leaving out the contact. Every policy needs one place to ask: an email, a form or an account page.
- Promising a refund time your payment provider cannot meet. State the days you take, then say the bank may take longer.
- Using different words in the policy, the checkout and your support replies. Customers notice, and so do card issuers in a dispute.
- Forgetting to update the date. Change the "Last updated" line each time the terms change.
Let an AI agent answer refund questions from your policy
Most refund questions repeat: how long do I have, how do I ask, when will I see my money. An AI support agent can answer them at 2 a.m. from the policy on your website.

LuckPanda builds the agent from your own website pages, so it quotes your policy instead of guessing. You can paste the chatbot FAQ from this tool as FAQ entries, and set "refund" as a handoff topic if you want a person to handle every refund request after the agent has explained the rules.

Is a no refund policy legal?
It depends on where your customers are. In much of the US you can refuse change-of-mind refunds if you show the policy clearly before purchase. In the UK and EU, online buyers have 14 days to cancel except for listed items, and in Brazil they have 7 days. In most countries on this page you cannot refuse a remedy for faulty or wrongly described goods; in Switzerland a seller may exclude the legal warranty in the contract, unless it hid the defect. This is not legal advice.
Do I need a refund policy on my website?
In several markets the law expects your terms to be shown before purchase: New York and California have posting rules, India requires online sellers to show return and refund terms, and Saudi Arabia and the UAE require them to be disclosed. Even where it is not required, a clear policy cuts down on questions and disputes.
Can I give store credit instead of a refund?
For change-of-mind refunds in the US, often yes, if your policy says so before purchase. In the UK and EU, refunds for a cancellation go back by the same payment method, and in Brazil everything paid must be refunded. For faulty goods, customers are entitled to a real remedy in most countries.
Can a customer dispute a charge if my policy says no refunds?
Yes. In the US, a customer who paid by card can still dispute the payment with their bank. A clear policy shown before purchase, applied the same way every time, gives you something to point to.
What is the difference between a refund policy and a return policy?
A return policy covers sending physical items back: the window, condition and shipping. A refund policy covers getting money back for anything you sell, including downloads, subscriptions, services, courses and events. Stores that sell goods often combine both.
Is the generated policy ready to publish?
It is a draft. It follows the consumer-law notes for the country you choose, but it is not legal advice. Fill the [square-bracket] slots, check it against the rules for every country you sell to, and ask a lawyer if you are unsure.
