How to write a payment reminder message
A payment reminder message tells a customer which invoice is due, how much, by when, and how to pay, in one short message. Start friendly before the due date and get firmer only as the invoice becomes overdue. Always include the invoice number and a payment link or method. Never threaten, and name a consequence, such as a late fee, only if your terms already say so.
- Pick the channelWhatsApp for short, personal reminders; SMS for a line with a link; email when you need a subject line and a record.
- Add the invoice detailsInvoice number, amount, currency, due date and how to pay. Anything left empty becomes a [square-bracket] slot.
- Add your terms (optional)A late fee or a next step you have already agreed with the customer. Without terms, the final notice asks them to pay or to call, nothing more.
- Copy the four remindersBefore the due date, on the due date, overdue, and final notice. Schedule them in your own WhatsApp, SMS or email tool.
The four reminders and when to send them
| Reminder | When | Tone | What it adds |
|---|---|---|---|
| Before the due date | A few days before | Friendly | Amount, due date, how to pay |
| On the due date | The morning it is due | Polite | "Due today" and the payment link |
| Overdue | About a week after | Polite but clear | That it is late, and an offer to help if there is a problem |
| Final notice | Two to four weeks after | Firm and respectful | A pay-by date, and a consequence only if your terms name one |
These timings are a common starting point, not a rule. Use what fits your customers and your terms.

Polite to firm, never threatening
Do
- Assume a busy customer, not a bad one, in the first two reminders.
- Make paying easy: one link or one method.
- Offer a way to raise a problem with the invoice.
Don't
- Threaten legal action, credit scores or public shaming.
- Invent late fees or interest your terms do not include.
- Message at night or several times a day.
Late payment rules for business invoices
Some countries give suppliers rights when a business customer pays late. Two examples, from the official pages:
| Country | Who it covers | What the official page says |
|---|---|---|
| India (MSMED Act, 2006) | Micro and small enterprise suppliers; a claim needs a valid Udyam registration | The buyer pays within 45 days of accepting the goods or service. If not, the buyer owes compound interest with monthly rests at three times the bank rate notified by the RBI. Claims are filed on the MSME ODR portal. |
| United Kingdom | A business paid late by another business | With no agreed date, payment is late 30 days after the customer gets the invoice or you deliver, whichever is later. You can claim statutory interest of 8% plus the Bank of England base rate, and fixed recovery costs of £40, £70 or £100 by the size of the debt. |

Answer "how do I pay?" on your website
A reminder often brings questions back: which methods you accept, where to find the invoice, who to talk to about an amount.
A LuckPanda support agent answers those questions on your website from your own pages and documents, such as a payments page or an FAQ. Questions it cannot answer, such as a disputed amount, it hands to a person on your team.

How do I write a polite payment reminder?
Name the invoice, the amount and the due date, give one way to pay, and thank the customer. Keep it short, assume they forgot, and offer help if there is a problem.
When should I send a payment reminder?
A common sequence is a few days before the due date, on the due date, about a week after, and a final notice a few weeks later. Adjust it to your terms.
What should a final payment reminder say?
That the invoice is overdue, the amount, a date to pay by, how to pay, and how to reach you. Mention a consequence only if your agreed terms include it.
Can I send payment reminders on WhatsApp?
Yes, many businesses do, from their own WhatsApp Business account. This tool writes the messages; you send them from your own app.
Can I add a late fee to a reminder?
Only if the customer agreed to it, for example in your contract or invoice terms, or where a law gives you the right. This is not legal advice.

Build it with your AI agent
Give an agent your site and it can create the chatbot, read your pages and test it through LuckPanda's API and MCP. It prepares the work; going live stays with you.
Use LuckPanda's MCP server (https://luckpanda.app/mcp) to build a website chatbot for me. Ask for my website address, call chatbot_create_from_website with it, wait until the pages are learned (chatbot_source_list), then run a few test questions with chatbot_test_message and show me the answers. Do not put it live: I will do that myself.
